What to include on a cash payment receipt
Because it may be the only record of the payment, a cash receipt should be complete:
Date & receipt number — when the cash was received and a sequential number for your records.
Received from / paid to — the payer's name and the person or business receiving the cash.
Amount in figures and words — the sum written both as numbers ($250.00) and in words (two hundred fifty dollars) to prevent alteration.
What it's for — the goods, service, rent period, or invoice the payment covers.
Paid in full or balance due — a note that the payment settles the amount, or the remaining balance if it's partial.
"Paid in cash" & signature — the payment method and the signature of the person who received the money.
How to write a receipt for a cash payment
Writing a cash receipt takes a minute. First, date it and give it a number. Next, write "Received from [payer's name]" and the amount in both figures and words — writing it twice is what stops a number from being changed later. Then state what the payment is for and whether it's paid in full or leaves a balance. Finally, note that it was paid in cash and sign it — the signature of the person receiving the money is what turns the note into a valid receipt. Give the original to the payer and keep a copy for yourself.
When you need a cash payment receipt
Any time cash changes hands, a receipt protects both sides. Common cases include rent paid in cash (often legally required to be receipted), a private sale of a car, furniture, or equipment, paying a contractor or handyman, tutoring, cleaning, and other services, and a deposit or partial payment. In each, the buyer gets proof they paid and the seller has a record of what was received — which matters because, unlike a card or transfer, cash leaves no automatic trail if a dispute comes up.
Handwritten receipts, templates, and "acknowledgement of payment"
A cash receipt can be handwritten on a receipt-book page or generated from a template — both are valid as long as they carry the key details above. A carbon-copy receipt book is popular because it gives you an instant duplicate. For larger sums, some people use an "acknowledgement of cash received" — the same information written as a short signed statement. Whether handwritten or printed, the essentials don't change: who paid whom, how much (in figures and words), for what, and a signature.
