A rent receipt is written proof that a tenant has paid rent to a landlord for a specific period. It is the most common piece of paperwork in any tenancy — and the one that gets lost, scribbled on a napkin, or never issued at all. A note on legitimate use. This template is for landlords issuing receipts to their own tenants, and for tenants reconstructing a record of rent they actually paid. Producing a receipt for rent that was not paid, inflating the amount, or fabricating tenancy documentation to support a Section 8 application, an immigration filing, a court claim, or any third-party transaction is fraud and is not what this tool is for.


When a rent receipt actually matters


Most tenants ignore receipts until they need one — and then they need one immediately. Cash rent payments leave no bank trail, so the receipt is the only proof the payment happened. Tenants applying for Section 8, housing vouchers, or immigration paperwork are routinely asked for 12 months of rent history. In a handful of states (Massachusetts, Indiana, Maryland, Wisconsin, California), a portion of rent paid can be claimed as a tax deduction — but only if you can produce receipts. And when disputes arrive — a "you never paid" text from a landlord, a deposit withheld, an eviction filing — the receipt is the first document a court will ask for.


What a valid rent receipt includes


A rent receipt needs to answer five questions without ambiguity: who paid, who received, for what property, for what period, and how. Our template covers the full list by default:


• Tenant’s full legal name

• Landlord or property manager’s name (and company, if applicable)

• Full property address including unit or apartment number

• Rental period covered (e.g. April 1–30, 2026)

• Exact amount paid, in dollars

• Payment method (cash, check #, Zelle, ACH transfer, Venmo, money order)

• Date the payment was received

• Signature of the person receiving payment

• A unique receipt number, if you issue multiple per month

How to fill out a rent receipt

When a rent receipt is legally required


Several states require landlords to provide a rent receipt on the tenant’s written request, especially for cash payments:


California – Civil Code

1499: receipt required on demand, any payment method

Massachusetts – M.G.L. c. 186

15B: written receipt required for every cash rent payment

Maryland – Real Property

8-208.2: written receipt required for cash payments

New York – Real Property Law

235-e: receipt required for cash, money order, or any non-check payment

Washington – RCW 59.18.063: receipt required on tenant request


Even where it isn’t a legal duty, every responsible landlord issues them. Not having a receipt can cost a tenant a security deposit refund or sink a Section 8 recertification.


Rent receipt vs lease vs rent ledger


Lease — the contract. Sets rent amount, term, and rules. Signed once.

Rent receipt — one-time proof that a single payment was made.

Rent ledger — a running log of all payments and balances for a tenancy. Used by landlords for record-keeping.


Most tenants only need rent receipts. Landlords should keep all three.


Rent receipts and taxes


Rent on a primary residence is not federally deductible. However, several states offer a renter’s credit or deduction — and all of them require documentation:


California — Nonrefundable renter’s credit ($60 or $120). Documentation: rent receipts or lease.

Massachusetts — Rent deduction up to $4,000. Receipts required on audit.

Indiana — Up to $3,000 renter’s deduction. Receipts required on audit.

Maryland — Renter’s tax credit (variable). 12 months of receipts.

Wisconsin — Homestead credit. Receipts or landlord statement.


For business use (home office, short-term rental hosting), rent is deductible under IRS Publication 527 — keep every receipt.

What should a rent receipt include?
A complete rent receipt should show the tenant’s name, the landlord or property manager’s name, the full property address including unit number, the rental period the payment covers, the dollar amount paid, the payment method (cash, check, Zelle, ACH, Venmo, money order), the date of payment, and a signature from the person receiving the money. How do I write a rent receipt?

Are landlords legally required to give rent receipts?
It depends on the state and the payment method. California (Civil Code §1499), Massachusetts (M.G.L. c. 186 §15B), Maryland (Real Property §8-208.2), New York (RPL §235-e), and Washington (RCW 59.18.063) all require landlords to provide a rent receipt on a tenant’s written request, particularly when rent is paid in cash. Even in states without this law, most landlords will issue one — and every tenant paying in cash should insist on it.
Can I use a rent receipt for a tax deduction?
Yes, in certain states. Massachusetts, Indiana, Maryland, Wisconsin, and California offer rent-based tax deductions or credits, and all of them require you to keep documentation — typically rent receipts or a landlord statement — for the year being claimed. At the federal level, rent on a personal residence is not deductible, but rent attributable to a home office or short-term rental business is deductible under IRS Publication 527, which requires the same documentation.
What's the difference between a rent receipt and a rent ledger?
A rent receipt is a one-time document confirming a single payment was made. A rent ledger is a running record of all rent payments and balances across the full tenancy, typically maintained by the landlord. Tenants usually only need receipts. Landlords should keep both — plus the lease — for every property.
